JOB DESCRIPTION

JOB TITLE: Accounts Payable/Payroll Clerk

REPORTS TO: CFO

CLASSIFICATION: Nonexempt

DEPARTMENT: Accounting

JOB PURPOSE:

The Accounts Payable/Payroll Clerk performs accounts payable duties to provide for the accurate and timely payment for goods and services that are used to manufacture company products and prepares the factory payroll to pay for all hours worked in an accurate and timely fashion.

DESCRIPTION OF ESSENTIAL DUTIES:

Match invoices to purchase orders, identifying and rectifying problems and insuring that correct items and quantities have been received. Enter invoices into the computer system. Generate accounts payable checks and mail checks to vendors in a timely fashion. Answer vendor inquiries relating to accounts payable matters and reconcile discrepancies.

Perform research and provide answers to internal accounts payable inquiries.

Verify all company credit card charges and make payment debiting all associated expense accounts.

Responsible for accurately scanning all paid invoices and related documents into the optical storage facilities to act as permanent records storage. Accuracy is critical in order to retrieve the documents at a later date.

Enter all credit raw materials invoices and no-accrual based raw inventory invoices into the computer system to account for material variances. Edit data and perform necessary corrections.

Assist in the various audits including, but not limited to year-end, bank, and sales tax audits.

Reconcile various account reconciliations and complete work papers for year-end, including but not limited to, material accruals, travel advance accounts, payables accounts, and showroom accounts.

Prepare material variance reports for journal entry into period end financial statements including period end summary information to be distributed to various users.

Complete appropriate license applications and fee payments for all bedding licenses.

Participate in the annual records retention project, keeping records organized and filed by permanent or temporary files.

Prepare the factory payroll to pay for all hours worked in an accurate and timely fashion in accordance with the collective bargaining agreement.

Process payroll deduction check requests.

Process employee wage garnishments and court required family maintenance payments.

Enter new employees into the computer system and create employee cards.

Process union due changes and employee changes in the computer system.

Edit data entry; prepare transactions, and post labor used prior to creating manager data sheets.

Initiate Movex MPM transfers daily.

Edit and prepare daily and weekly labor variance and period end reports.

Assist with Physical Inventory.

Records retention support for all factory payroll records.

DESCRIPTION OF NONESSENTIAL DUTIES:

Perform bank deposits on a back up basis.

Assist in payroll system upgrades including testing and performing parallels.

Perform other miscellaneous duties as assigned by the CFO.

QUALIFICATION REQUIREMENTS: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)

  • Requires education generally equivalent to a high school diploma plus additional training related to payroll processing. College education a plus.
  • Requires three to six months experience in payroll and accounting techniques and one year experience in accounts payable techniques.
  • Requires extensive knowledge of accounts payable and payroll procedures.
  • Requires the ability to pay considerable attention to accounts payable and payroll/financial report related detail.
  • Requires the ability to effectively deal with diverse personalities to accomplish work goals.

PROTECTIVE CLOTHING REQUIRED:

The employee must wear safety glasses and safety shoes, as required, when working in production areas.

The employee is occasionally exposed to moving mechanical parts when working in manufacturing areas.
